Privacy terms

The reg.hgo.ee registration system collects personal data solely in order to organise competitions. Below you will find what data we ask for, why, who we share it with and what rights you have.

Data controller

What data we collect

• Registrant details: first and last name, e-mail, phone, country.
• Participant details: first and last name, country, personal identification code or date of birth, sex, e-mail, phone, county and town/municipality, club, SI-stick number or rental request.
• Registration details: competition and class, team name, selected competition days, additional services, bib number and any notes you add yourself.
• Invoice details: company name and registry code, if you want the invoice issued to a legal entity.
• Payment details: amount, status and reference number. We neither see nor store card or bank details — these stay with the payment service provider.
• Results: bib number, time and placing.
• User account: e-mail and a password hash. We never see the password itself.
• Consent: the time at which the registration confirmations were given.

We ask for the personal identification code in order to determine the competition class (age as at the competition day, and sex) and to tell apart participants with the same name. If you do not have one, you can enter your date of birth instead.

Why and on what basis we process data

• Accepting the registration, determining the competition class, compiling the start list and timing — to perform the contract.
• Processing the payment and issuing the invoice — to perform the contract and to meet the obligation arising from the Accounting Act.
• Organisational notices about the event by e-mail (confirmation, changes, instructions) — to perform the contract.
• Publishing the participant list and the results — the organiser's legitimate interest; this is a customary and inseparable part of competitive sport.
• We send newsletters and offers only if you have given separate consent for it. You can opt out at any time.

What we publish

In the event participant list we show the first and last name of the registrant and of the participants, the team name, club, class, time of registration, the SI-rental marker and the payment status (paid or pending). In the results we additionally show the bib number, time and placing. We do not publicly show the personal identification code, date of birth, e-mail, phone number or place of residence.

Who we share data with

• The payment service provider (EveryPay AS) — to initiate and confirm the payment.
• The timing and results service provider — to compile the start list and to record the results.
• The web hosting provider — to hold the data on the server.

All of the above process the data according to our instructions and only to the extent needed to provide the service. We do not sell or pass data to any other third party, unless the law requires it.

How long we keep data

• Registration and payment data — 7 years from the end of the financial year, as required by the Accounting Act.
• Results — indefinitely, as part of the competition record.
• User account data — until the account is deleted.

Your rights

You have the right to access your data, to require inaccurate data to be corrected, to require your data to be deleted, to restrict processing or object to it, to receive your data in a machine-readable form, and to withdraw any consent given at any time. To do so, write to info@hgo.ee — we reply within one month at the latest.

Some data cannot be deleted before the retention period laid down by law has passed (for example payment and accounting data). If you are not satisfied with our answer, you have the right to turn to the Estonian Data Protection Inspectorate (info@aki.ee, www.aki.ee).

Security

The connection to the site is encrypted (HTTPS) and passwords are stored only as hashes. Registration data is accessible only to those organisers who need it to do their work, and they are bound by a duty of confidentiality.

Cookies

We use only technical cookies (session and security token) so the site works and forms are protected. We do not use tracking or analytics cookies.

Storing data in your browser

If you tick "Remember my details" at registration, we store the entered contact and participant details (name, email, phone, personal ID, club, etc.) in your own device's browser to pre-fill the fields next time. This data stays only on your device. For deletion untick this box at registration and submit the form, or clear your browser's site data.
